Workforce Services Information Notice
WSIN23-55
Issued: June 17, 2024
The CalJOBSSM system, hosted by Geographic Solutions Inc., is upgrading on July 1, 2024. This version upgrade contains system enhancements helpful to all users of the CalJOBS system. Job seekers, staff, and employers will notice a variety of esthetic changes and a few new capabilities that make CalJOBS easier and more efficient to use.
Changes for All Users
System Sign-In/Registration Page Redesign
The system sign-in/registration is redesigned to have the sign-in section for registered users clearly located at the top, and the registration sections for each user type broken out below. Additionally, Individuals and Employers can select the Guest Access link in the account type section to preview what services are available in the system prior to completing an account registration.
Enhanced Customization Features
Various new features enable users to customize their account to better meet their needs and preferences:
- Pinned Links – The ability to pin links to various functions within the system is expanded to include Employer and Provider user types and additional pinnable pages for all users. Pinned pages appear in the Pinned Links section of a user’s dashboard.
- Portfolio Folder Tree – The portfolio folder tree structure is visually refreshed and includes usability improvements. Users can enable or disable automatic closing of the folders by selecting the appropriate setting in the Page Preferences link located in the footer of every page.
- Menu Graphics and Descriptions – Menu landing pages are improved by simplifying and enhancing menu item descriptions with clear action verbs to provide users with precise functionality insights. Users can also hide the menu item descriptions and display only the titles and icons using a toggle button.
Changes for Individuals
Password Validation Control for Individual Registrations
When users create or update their password, the requirements for the password appear below the field and are checked off as each rule is met.
Profile Review Prompt
A new alert is added to the Login Notifications pop-up alert that prompts individuals to periodically review and update their personal profiles to provide newly required, changed, or missing information. Individuals can click the My Profile link in the pop-up to go directly to the General Information tab of their profile to manage the alert.
Workforce Program Benefit Status Cards
Individuals have a new dashboard panel titled Benefit Status, which allows them to easily track their current program statuses for Adult Services, Dislocated Worker Services, Youth Services, Trade Adjustment Assistance, and more, in one convenient location, helping them stay informed and in control of their benefits. Available workforce programs display to the left of the status cards with color-coded bands. Links within some status cards take the user to a new page with details.
Job Card Skills Match Score Flip
A new function was added to the Job Card Skills Match. Clicking the Match Score icon at the top right of a job card on the Job Search Results page flips the card to reveal a Match Score card. To learn more on the Match Score Details page, users can select the link at the bottom of the Match Score. The card can be flipped back to the job card view by selecting the right arrow symbol in the lower right of the card.
Apply from Job Card
The new Apply option within a job card on the Job Search Results page takes users directly to the Apply function on the Job Details page, and a View option opens the Job Details page for more information. Jobs that individuals applied to are tagged with an Applied date/time indicator in the job card on the Job Search Results page.
Saved Job Improvements
The My Liked Jobs feature is enhanced to provide a more user-friendly and efficient job search process. The list of liked jobs is renamed and relocated to a new Saved Jobs tab within an individual’s Employment Plan folder in their portfolio. Once on the Saved Jobs tab, the layout of the list of saved jobs has been streamlined using job cards. A Remove option has also been added for easy list management.
Interview Prep Tab for Job Applicants
Job seekers can use the new Interview Prep tab to help them prepare for an interview with a selected employer and job order. The Interview Prep tab includes three sections:
- Occupation Related Terms – Provides a space for users to compile a list of terms and their definitions relevant to their chosen occupati
- Practice Interview Questions – Lets users build a comprehensive list of potential questions an employer might pose during an interview.
- Follow Up Questions – Serves as a platform for users to create a list of insightful questions they intend to ask the employer at the conclusion of the interview.
Résumé Builder Menu Flow Change
On the Résumés tab, the Upload option is now accessible from the Create New Résumé thumbnail. A comprehensive list of creation options appears on the Résumé Creation Method page.
Changes for Employers
Interview Tab for Employers
From an employer’s Job Applicants tab, a new Interview Questions tab allows employers to compile a list of questions specific to each individual applicant and includes the ability to export the complete set of questions and responses to MS Word or PDF.
Changes for Staff
Currently Managing Bar Links
This enhancement allows staff to add up to four links of their choosing to the Currently Managing bar that appear at the top of every page when assisting an individual or employer. These links are configurable via new sections on the My Staff Account page and staff can choose in which of the four slots each option resides.
Edit Scheduled Reports Settings
The same editing options for My Reports (Saved) are now available for My Scheduled Reports, including the ability to change filters, alter schedules, and change who receives email notifications.
Participant Programs Tab Link in Project Contract Details
This enhancement adds the ability to access a participant’s Programs tab directly through a link on the Provider’s Contracts tab.
Business Intelligence Data Analytics
A new Business Intelligence Data Analytics option has been added to CalJOBS reports. The new reporting tool can be found under the Reports section of the menu. Access to this functionality will be provided at a later date as more information and training is provided to staff.
Training Webinars and Questions
The system updates will be covered in several training webinars conducted by the Central Office Workforce Services Division’s Statewide Training Unit. A separate communication will be sent with details about the training, including the dates and times the training is offered and how to register. For staff who are unable to attend any of the scheduled webinar training sessions, a recording will be available on CalJOBS shortly after the webinar sessions are completed. If you have any questions about the training, please contact the Statewide Training Unit at Statewidetraining@edd.ca.gov.
If you have any questions regarding the changes made to CalJOBS because of the upgrade, please contact your Manage Information Systems Administrator, CalJOBS Single Point of Contact, or Project Manager.
