CalJOBS System Upgrade to Version 21

The CalJOBS system will be upgrading to Version 21.0 on March 21, 2022. This version upgrade contains system enhancements helpful to all users of the CalJOBS system. Job seekers, staff, employers, and administrators will notice a variety of esthetic changes, and a few new capabilities that make the CalJOBS system easier and more efficient to use.

Changes for All Users

Pin to Dashboard Section

A new Pinned Links section is now available on the dashboard, and a small Pin to Dashboard button now displays at the upper left of many pages in CalJOBS for individual, employer, and staff users. This lets users pin links for the pages they access frequently, so they can open them quickly from their dashboard with one click. The range of ‘pinnable’ pages that can be added with this button is indicated in the descriptions for each type of user in the sections that follow.

Changes for Individuals

Pin to Dashboard Section

Numerous individual user pages include the new Pin to Dashboard button. Clicking the button from these pages will pin the link to the individual’s dashboard page in the Pinned Links section. Pages that individuals can pin as links include: Message Center, Résumés, Virtual Recruiter, Jobs Recently Viewed, Liked Jobs, My Documents, Appointments, Paths, and many pages from Labor Market Services.

Recently Viewed Menu Group

The last five selections an individual has chosen from the left navigation menu are displayed in a “Recently Viewed” menu group at the top of the menu. The selections are saved when they sign out, and are displayed in the menu group when they sign in again.

Job Search Results Display Enhancements

Several enhancements have been added that make it easier to search for jobs and sort/filter job search results.

  • Work Site Options Filter –Located in the filtering options on the left of the Job Order Search Results page. These options can be used to filter the listed jobs to show only those jobs that employers have identified as jobs that can be ‘Remote Work’ or ‘Work From Home’ positions.
  • De-duplication Filter –Available at the top right of the Job Search Results page, a Job De-duplication link lets individuals control the degree of de-duplication used in filtering out potential duplicate jobs.
  • Job Short List Filter –An additional ‘Select’ option displays on the lower right of each job card. This lets individuals select job cards for a ‘short list’ by clicking the ‘Select’ option to change it to ‘Selected’ and highlighted. Then individuals can filter all of the listed jobs into a short list of only their selected jobs, using a Display option from the Narrow Results filtering options on the left of the Job Search Results page.
  • Added ‘Sort by’ Options – Additional ‘Sort by’ options have been added to the ‘Sort by…’ link at the top center of the Job Search Results page.
  • Work From Home Search Criteria –A Remote Work/Work at Home’ selection criteria has been added to the Advanced Job Search tab that can be used to search for remote jobs.
  • Remote Work / Work From Home Icons – The Job Order Details page now includes house icons to indicate full time or part time Remote Work / Work From Home jobs.
  • Employer’s or NAICS logos on all job cards –Job cards now include North American Industry Classification System (NAICS) icons (in logo positions on job cards) for employers that don't have logos available.
  • Enhanced Career Ladder – The occupation Career Ladder now automatically displays both sets of occupations before and after the currently selected occupation for the job - centered in the middle of the ladder.The user can click on occupations boxes on either side of the selected occupation in the Career Ladder to expand information.

Résumé Builder Enhancements

The Résumé Builder now displays more relevant information and new options have been added to make it easier to create, manage and improve résumés.

  • Résumé Actions via Thumbnails View –The Résumés tab now displays the date that a résumé went offline when the list of résumés is displayed to individuals and staff.
  • Résumé Creation Method Options –The following options have been added to the Start page for creating a new résumé:
    • Quick – Moves the user quickly to the Résumé Preview page that is populated from saved background and registration data (for Comprehensive), or from data extracted from a résumé file (for Upload).
    • Wizard – Moves the user step-by-step through separate pages for each section of the résumé. The user makes selections/edits on each page before continuing, and they end at the Résumé Preview page.
  • Résumé Preview Page Enhancements
    • Title and dates – Basic résumé header information (résumé title, last modified date, creation date, and résumé number) are simplified and left aligned at the top of the page.
    • Score/Status Flags – The résumé score, Incomplete/Complete status, and Offline/Online status are three highly-visible flags at top left of the résumé. Clicking each flag shows details about changing the related score or status.
      • Résumé Score – This flag shows the score and completion circle for the résumé. It displays in yellow or green, depending on the score (green if 80% or higher). Clicking the flag displays a message about the score with a link to open the Résumé Score Details page, which lists each of the résumé scoring items and identifies the areas that can improve the score. A light bulb symbol also displays to the left of any components tied to a low résumé score.
      • Incomplete/Complete – This flag indicates if the résumé is ‘Incomplete’ (red flag) or ‘Complete’ (green flag). Clicking the flag when ‘Incomplete’ opens a pop-up box that describes actions to correct missing information in visible title sections or required Employer Searchable Items.
      • Offline/Online – This flag indicates if the résumé is ‘Offline’ (red flag) or ‘Online’ (green flag). Clicking the flag when ‘Offline’ opens a pop-up box that indicates the résumé is not searchable or viewable by employers, and radio buttons to change the résumé to ‘Online’.
    • Template Selection – The title of the selected résumé template is now on the top right of the résumé next to the gear icon. Clicking it displays other templates available for selection.
    • Template Options – Clicking the gear icon to the right of the template name opens the pane for adding a new template or editing properties in a custom template. The top of the template pane now includes a Save and a Reset button (available as you make changes), and a Template Title field and Save As button for creating a new template from any existing template. The bottom of the template pane now includes a Close button.
    • Copy, Print, Email, Download Icons – Copy, print, email, and download options are now icons on the top right of the résumé just below the template name and gear icon. ‘Copy an existing résumé’ has been added to the other icons.
    • Delete Résumé (Trash) Icon – A Trash icon has been added that removes the résumé while on the Résumé Preview page.
    • Résumé Tour – A Start Tour button is included at the top right of the Résumé Preview page. Clicking the button lets the user walk through different areas of the page via pop-up boxes to see descriptions of the purpose of each area.

Virtual Recruiter Redesign

Several enhancements have been made to Virtual Recruiter to make it more prominently displayed and easily accessed within CalJOBS, and to have a wider range of user-friendly and personalized controls. The enhancements include the following:

  • More accessible points on an individual’s dashboard for Virtual Recruiter
    • Included as a ‘pinnable’ page that can be pinned to the dashboard for one-click access.
    • Added to the Paths widget on the dashboard.
    • Added to the Paths tab that identifies completed background, résumé, and assessment badges.
  • Improved, more visible image and button – The button highlights the options to save job search results.
  • New ‘Sorted by…’ link – When it is selected from the top right of the tab, a drop-down box lets the user choose to sort the displayed Virtual Recruiter cards by their title, next run date, expire date, or notification method.
  • Changes to the Edit page – The related Standard Occupation Code (SOC) image on the top of the job alert cards also shows at the top of the Edit page, and the Information and Search Criteria sections of the page are collapsible.

Enhanced Pop-Up for Notifications at Sign In

The Notification pop-up that displays for an individual when they sign into CalJOBS has been enhanced to display more information beyond the indication that the individual user has new messages. The pop-up changes include the following:

  • A friendly time of day and first name greeting in the pop-up title.
  • A “Today’s Suggested Path” notification that shows the next path in the individual’s Paths tab that is not complete (e.g., My Background or the next Assessment on the Paths tab).
  • Identification of Smart Seeker goals, with links related to each goal.
  • A link to a Welcome Notifications section in the Personal Profiles folder, where individuals can configure each of the three notification types that now display in the pop-up.

Rotating Carousel of Top 10 Related Job Posts

The Related Posts section lists jobs that closely match a user’s desired job title and location. But, instead of only two job matches displayed in a “job card” format, this section now displays the top 10 results as job cards that automatically rotate through in a carousel-like animation, two cards at a time.

Willing to Work at Home Prompt

This enhancement adjusts the “Willing to telecommute?” prompt that is now part of the Desired Job Type definition in the individual’s Background Tab. The prompt asks if the user is “Willing to Work Remotely/ Work at Home.”

Changes for Employers

Pin To Dashboard Section

Several employer user pages include the new Pin to Dashboard button. Clicking the button from these pages will pin the link to the employer’s dashboard page in the Pinned Links section. Pages that employers can pin as links include: Message Center, Employer Agents Tab, Training and Education Programs, Training Providers and Schools, Virtual Recruiter, and many of the pages available from the Labor Market Services options.

Recently Viewed Menu Group

The last five selections an employer has chosen from the left navigation menu are displayed in a “Recently Viewed” menu group at the top of the menu. The selections are saved when they sign out, and are displayed in the menu group when they sign in again.

NAICS Employer Logo on Job Orders

CalJOBS adds standardized NAICS-related logos to jobs when the employer does not set an employer logo as part of the job order.

Require Remote Work / Work at Home Job Order Field

Changes to the Remote Work/Work At Home field will support the identification of full and part time remote work job openings posted in CalJOBS. When a new job order is created, or an existing job order is edited, the Remote Work/Work at Home field will not default to a selection; the employer must select ‘Yes’, ‘No’, or ‘Not Specified’. If they select ‘Yes', an additional prompt will require them to select the type of remote work as ‘Full Time’ or ‘Part Time.’ CalJOBS will use this selection when displaying posted jobs in job searches to match searches on remote work, as well as to use filters and display icons for remote work in the Job Search Results page.

Changes for Staff

Pin To Dashboard Section

A large number of staff user pages include the new Pin to Dashboard button. Clicking the button from these pages will pin the link to the staff member’s dashboard page in the Pinned Links section. While assisting an individual or employer, staff can also click on links accessed if they want to pin those links to their staff dashboard for use when they are assisting any individual or employer. The pages staff can pin as links include: Staff Message Center, Appointments, Staff Online Resources, View Individual Case Load, View Individual Case Assignment, One Case Note to Multiple Individuals, Individual Case Un-assignment, My Staff Alerts, Create Individual Quick Registration, and Assist an Individual, as well as many pages from Labor Market Services.

Changes for Administrators

Options to Select “Classic” Mode for Left Navigation Menu of Administrator

A new option lets administration users choose to display the left navigation menu in the older “Classic” view that shows the left navigation pane at all times, and not as a modal panel that displays only on selection and while making choices.

Document Management Privileges for Staff on a Separate Tab

This lets administrators identify all of a staff member’s access to documents (on a program-by-program basis) through privileges identified on a separate, fourth tab for all Document Management privileges.

Training Webinars and Questions

The version 21.0 changes will be covered in several training webinars conducted by the Central Office Workforce Services Division Statewide Training Unit. For staff who are unable to attend any of the scheduled webinar training sessions, additional training webinars can be requested from the Statewide Training Unit by submitting an email to Statewidetraining@edd.ca.gov.
